Give people a usable, governed path
Evaluate why people reach for external AI tools before designing the controls around a workflow.
Start with the task
People may reach for an AI tool to summarise documents, prepare a report or reconcile information. Understanding that task is more useful than assuming every use has the same data risk. Identify the inputs, intended output and actions the tool would need.
Make the approved route practical
A policy is easier to follow when people can understand which information may be used, which services are approved and when review is required. An unusable approved route does not prove that an unapproved route is safe. Evaluate both the task experience and the controls.
Review the result and the operating process
Choose a small representative workflow, define acceptance criteria and involve its actual users. Test what happens with conflicting information, missing access and interrupted execution.
